Price matching and comparing freight quotes

Many providers will match or beat a competing quote, but only if the two quotes really cover the same service. Here's how to compare them fairly.

Freight pricing isn't standardized, so two quotes for the "same" shipment can differ by hundreds of dollars for perfectly legitimate reasons. Before asking anyone to match a price, make sure you're comparing like with like.

How freight price matching usually works

  1. You share a written competing quote for the same lane, date and equipment.
  2. The provider checks it to make sure it's current, complete and comparable.
  3. They respond with a matching or lower rate, or explain the difference in service.

Expect exclusions: expedited, same-day and specialized loads are rarely eligible because capacity for them is scarce and priced in real time.

The apples-to-apples checklist

ItemWhy it matters
Fuel surchargeIs it included, or added on top at a weekly rate?
AccessorialsLiftgate, residential, appointment, extra stops: included or extra?
Weight and classA quote based on a lower class or weight will be re-billed.
Transit timeGuaranteed vs. standard service can differ widely in price.
Liability limitLow-cost options may cover far less per pound.
Free time and detentionOne hour vs. two hours free can change the real cost.
Quote validitySpot quotes may expire within hours.
Who hauls itAsset carrier vs. broker; ask who the actual carrier is.

When the cheapest quote costs more

An unusually low rate can signal a carrier that will fall off the load at the last minute, a broker planning to re-bill accessorials, or, in the worst cases, fraud such as double-brokering. Check the provider's operating authority, insurance and reviews, and be wary of anyone who can't name the carrier hauling your freight.

Negotiating better rates without price-shopping every load

  • Offer consistent volume on a lane in exchange for a contract rate.
  • Be a "shipper of choice": quick loading, flexible appointments, prompt payment.
  • Give longer lead times; next-day loads are always more expensive.
  • Bundle backhauls or multi-stop routes where you can.

Use the quote checklist to request comparable quotes, and the estimator to sanity-check them.
